Training course for chiefs and managers

Step 1. Make a task list

To manage projects, tasks and employees effectively you have to create a task list. It is obligatory necessary. And here is why: it is better to keep all plans on a data carrier (paper or digital) – to keep your mind always free for fresh ideas and thoughts. The data carrier should piously keep the list of already invented tasks/ideas/thoughts and display information you need when you need it.

Basic elements of the program’s windows:

Navigator – is to be used for navigation on sections you need: employees, projects, categories, contacts. Using the navigator you can display tasks sorted by employee, project and so on.

Task tree – tasks, notes and files with necessary columns are displayed (the picture doesn’t illustrate it).

Task Calendar –the calendar shows tasks that have a set date. The calendar can show day, week or month.

At this step you have to create your task list, to do it create new data base first: Menu File -> New. After that create a new category in the Navigator and give it a name “My task list”. Select this category in the Navigator and create your task list.

There are few ways to create a new task:

  1. push the “Insert” button
  2. click the “Add” button on the tools panel
  3. just type a task name and push the “Enter” button

There can be several task lists (divided into categories) and the tasks can be related to a number of different context-groups/kairoses at the same time.

Step 2. Specify the order of fulfillment. The main is to be done first!

Before you start executing tasks you have to specify the sequence of the execution, that mean to highlight the main, the most important task. After that – the tasks that are less important and uimportant tasks in the end of the task list. It is convenient to highlight with colours the main/the most important tasks.

If a task is divided into separate stages you have to highlight these stages and to make them subtasks to the main one.

When you are executing the tasks you have to remember: do only main/important task first. You won’t have time to do everything, that is why you have to do only the tasks that will bring maximal result.

This principle was well described in the Pareto Principle: 20% of the tasks give 80% of the result, the rest 80% of the tasks give 20% of the result.

Step 3. Make a time-table

To plan the sequence of tasks execution it is necessary to use not only the task tree where you can assort task by importance, but also by the date. It is necessary to use the calendar for this purpose. This way the clearness to detect what is necessary to do today will increase when you just have a look at the calendar.

Tasks that have date and/or the beginning/termination date are displayed in the calendar. Long termed tasks are in the top of the calendar, tasks that have date are in the time grid.

Step 4. Learn to get only useful information

When you work you need to get necessary data the quickest way regularly, for example: “My tasks for this week”, “Smith’s tasks in “B-1” Project in January”, “Works in Project “B-1” in December” and so on. To get this data (selection of tasks) there is a “Filter” function. It is necessary to customize the filters you need once and then call them in one click.

Step 5. Create templates and regular tasks

Every work has regular tasks, it means the tasks, that repeat with a known periodicity (pay bills, discounts, making backups, monthly reports and so on).

And it is necessary that some tasks have history – to checkup whether the task was done in previous time. There is the “Repeat” function in LeaderTask for this purpose, using this function you can easily and conveniently organize the execution and following not only of regular tasks but also of multi-level tasks, what you can call “templates”.

You can set any periodicity for a regular task, and the calendar will show all future tasks, and the task tree – only the next one. With the help of regular tasks you can organize execution of big tasks by a template and follow their history.

Step 6. Delegate

Projects usually consist of tasks that a number of employees execute, and it is necessary to follow the execution of tasks by every employee.

To assign (delegate) a task to an employee it is necessary to install for the employee LeaderTask Company Management.

To assign a task to an employee it is necessary to set the executor in the properties of the task. After the executor is set – this task will appear at the employee’s PC.

The executor can’t change name, description and date of the task; he can only change the status of the task and set, for example, “In progress”. When the executor or the manager who assigned the task changes this task (the status of the task), LeaderTask will show this task bold

When the task is done the executor can set the status “Ready for approval”. When the manager who assigned this task sees it, he sets the appropriate status: “Completed” or “Waiting for something”.

LeaderTask is convenient because tasks can be sent even if an executor or manager is not at workplace. After an employee turns on PC, he will get all changes in all tasks from all users.

One more useful characteristic of LeaderTask – is work via Internet. The employees can be in office and work efficiently, and the chief can be in any part of the world and manage the work of the office via Internet. And when the chief comes back after a long absence, the chief can overview the work of every employee simply by minutes and hours.

Step 7. Control the assignments

After the tasks are allocated among the employees, it is necessary to control them. Assigned tasks can be displayed when you click at the executor. You can see what was assigned and what status do this tasks have.
